Planning a party can be fun. But all too often, it turns into a last-minute scramble with forgotten details and unexpected hiccups. We’ve all been there. Only recently, did I leave my kid’s birthday party planning until the very last minute. Luckily, everything went smoothly but I am well aware that it could have been a disaster!

My last minute panic got me thinking about how I can avoid the scramble to pull a party together in a hurry, which is why I created my Ultimate Party Planning Checklist. It’s designed to help me and hopefully you stay organised, plan with ease, and ensure you actually enjoy your event!

Why You Need a Party Planning Checklist

If you’ve ever thrown a party, you know how many moving parts there are: choosing a venue, choosing your theme, picking a date and time, sending out invites, organising food and drinks, setting up décor… the list goes on. And with so much to remember, it’s easy for things to slip through the cracks.

That’s why a party planning checklist is a game-changer. It helps you:

  • Stay organised by breaking down tasks into manageable steps.
  • Avoid forgetting important details, like ordering enough food, booking entertainment or remembering the matches to light the candles on the cake!
  • Reduce the stress of last-minute preparations so you can actually enjoy your own party.
  • Give you a rough timeline for when things need to be done so you don’t miss out on your preferred venue, entertainment, caterer, ect.

Party Planning Breakdown

Here’s a sneak peek at how my checklist helps you plan a perfect event, from start to finish:

2-3 Months Before the Party

  • Choose a date and venue: Secure your space, whether it’s your home, a park, or a rented venue.
  • Book your Entertainment in advance to avoid disappointment 

1-2 Month Before the Party

  • Pick a theme: Is it a birthday, holiday celebration, or themed event?
  • Send out invitations: Let your guests know the important details so they can RSVP early. If you are looking for the perfect 
  • Decide on your food and decorations

3-4 Weeks Before the Party

  • Confirm your guest count: This will help you plan food, drinks, and seating.
  • Order food or finalise the menu: Are you catering or cooking yourself? Make sure you have everything planned.
  • Buy or order decorations: Start gathering your décor based on your theme.

1 Week Before the Party

  • Check your RSVP list a final time
  • Confirm timings and details your your vendors- the venue, entertainment, caterers, ect
  • Create a party schedule: Make a timeline for activities or when food should be served.
  • Go shopping for last-minute items: Don’t forget ice, extra plates, or any specialty items you need.

The Day Before the Party

  • If you can, set up the venue: Decorate, arrange tables, and make sure everything looks perfect.
  • Double-check supplies: Run through your checklist to ensure nothing is missing—think napkins, utensils, and music.

On the Day of the Party

  • Relax and enjoy! With all the hard work done ahead of time, all that’s left is to have fun with your guests.

  • Top Tip- Don't forget your birthday candles, matches and a knife to cut the cake!

Extra Tips for a Stress-Free Party

Here are a few tips I’ve learned from my own party planning experiences:

  • Delegate: Don’t be afraid to ask for help! Assign a few tasks to friends or family members.
  • Have a backup plan: If you’re hosting outdoors, definitely have a plan B in case of bad weather.
  • Start early: The earlier you begin planning, the less stress you’ll feel as the party date approaches.
